Rules for Member Networks

We would like to remind each committee that all feedback on the proposed rules for member networks must be submitted electronically by 8am on 4th September 2017 at the latest. If your committee is not meeting before the deadline we request that you share the information by email - due to the timelines for approval any feedback received after the deadline may not be taken into account. Any general themes raised will then be discussed by the Regional Steering Groups at their autumn meetings.

Christmas Cards

Any Local Sections wishing to order RSC Christmas cards to send out to selected members of your section the deadline for orders is 11 September 2017 and we will arrange to dispatch the cards and address labels to you at the end of October.

You may want to consider ordering the labels in postcode order (rather than surname order). This should help the larger Local Sections whose Volunteers are divided up and look after specific postcode areas.

As in 2016 the Chemists’ Community Fund would like to offer each Local Section the opportunity to reclaim their postage costs if they include information in their mailing promoting the Fund. The attached letter has been prepared by the Fund staff for inclusion although you can, of course, prepare your own letter should you wish. If you would like to reclaim the cost of postage from the Fund an expense claim with receipts should be sent to BenFund@rsc.org.

Please send an email request (msadmin@rsc.org ) by 11 September 2017 including:

  • The selection criteria of the members (e.g. over 70 or retired)
  • If you wish to receive the printed and pre-folded Chemists’ Community Fund letters

Please be aware that electronic Christmas cards are not available this year.

Local Section Day 2017

We are looking forward to meeting representatives from many of our Local Sections in the UK and Ireland this month. The day will start at 10am and finish at 3:30pm.  We hope to have a constructive day celebrating the wonderful activities of our Local Sections, recognising the winners of our Awards and having interesting discussions.

Interest Group Forum 2017

We are also looking forward to meeting representatives from many of our Interest Groups. The forum is the new governance meeting for Interest Groups and it is important that as many groups are represented as possible. We have a packed agenda and anticipate some constructive discussions.

GDPR

This is a change in law and we are asking for the following information so that we can support you as volunteers.

The Networks Team is here to offer support, guidance and help to all Interest Groups and as part of this would like to highlight the changes in the data protection law, General Data Protection Regulation (GDPR), coming into place next year. In order to help you deliver events, communications, and services to your members  we wanted to address the changes with you to help ensure that we are all in line with the new regulations. The new regulations are coming into place in May 2018, with much of the focus around consent:

  • Consent under the GDPR requires some form of clear affirmative action. For non-RSC members pre-ticked boxes or inactivity does not constitute on going consent.
  • For non-RSC members, consent must be verifiable. This means that some form of record must be kept of how and when consent was given.
  • Individuals (non-RSC members) have a right to withdraw consent at any time.
  • Remember that you can rely on alternative legal bases to consent – for example, where processing is necessary for the purposes of your group’s legitimate interests.
  • If you should use a third party to deliver some of your groups work, then you will need to have a data processing agreement in place. This is currently being updated and will be in place in good time for May.
  • Where you already rely on consent that was sought under the existing DPA, you will not be required to obtain fresh consent from individuals if the standard of that consent meets the new requirements under the GDPR (see Recital 171). Implementation of the GDPR will require a review of consent mechanisms to ensure they meet the standards required under the legislation.
  • If you cannot reach the GDPR standard of consent then you must find an alternative legal basis or cease or not start the processing in question. Please do get in touch with the Networks Team at networks@rsc.org if you have any questions or concerns in the first instance.

As part of the preparation for these new regulations we feel it would be timely to audit the information on members that our Interest Groups hold and request your assistance by answering the questions in the attached form so we can identify where we need to offer support to you, so we can be in accordance with the changes.

It is important that you send the appropriate information Friday, 6th October.

Should you wish to discuss this further on the phone or in person, or should you have any questions or concerns, please do contact us (networks@rsc.org).

This newsletter including additional information from other departments is also available online(http://my.rsc.org/blogs/81).

Please feel free to encourage other members of your committee to read the newsletter online.

We welcome any feedback you have on what you would like included in this newsletter; please email any suggestions to networks@rsc.org.

The 2017 Pay and Reward survey needs you
We use the Pay and Reward survey to gather evidence to help you effectively plan and manage your career. Would working in a different area of the chemical sciences affect your pay? How might taking break alter your career prospects? Do you need information to help you benchmark against data such as gender pay-gap and provide more meaningful interpretation and evidence for diversity initiatives?
The more responses we get to the survey, the more accurately you’ll be able to assess the answers to these questions and more. The survey is open until 9 July and your response is vital.
Last week, you should have received an email from ORC International, the market research agency we’re working with, containing your personal link to the survey. If you haven’t received your email invitation to the survey then please careers@rsc.org know. Once the results are analysed, you will be sent your own digital copy of the full report. Thank you for your help!

Awards for Service and Inspirational Award
Please consider nominating your inspirational colleagues or your own committee.
The deadline for nominations for our Awards for Service and Inspirational Member and Inspirational Committee Awards is 21 April 2017.
Any member can submit a nomination for any of these awards. Guidelines and nomination forms are available online:

Annual Reports
Thank you to all the groups that have completed their annual report for 2016.
A reminder that all RSC Networks must complete their annual report form in addition to the annual financial report. The activity report will be considered by staff and whichever body our Council has nominated to oversee the activities of the network.  The reports will be put on the network’s own homepage at www.rsc.org for their members to read and shared with relevant staff members.

Regional Steering Groups – Roles and Responsibilities
Purpose
The Regional Steering Groups provide a regional governance structure for our geographical networks, allowing our members to discuss and escalate both regional and national issues.
The purpose of the groups is to:
  • Encourage communication and collaboration between all of our member networks on a regional basis
  • Ensure that all geographical networks are encouraged to consider the needs of the full breadth of our community
  • To act as a conduit for communication between our member networks and the governance structure
  • To discuss and inform staff on matters of regional importance
It was agreed by the review panel that the purpose of these groups was not to organise any activities.
Members
To ensure that these groups are representative of our community each contains the following:
  • Representatives of all member networks committees in the region.
  • Representatives of specific sectors of our membership (Early Career, Academic, Industry and Interest Group) – these members are not representing any network but are asked to present their own opinion as a member of their sector.
  • Chemists’ Community Fund Regional Volunteer Coordinator

Updated brand centre user guide
Please be aware that the guidelines for our brand centre have been updated. The new guidelines are available online.

2017 Grant Payments
Thank you to all the groups that have completed the financial reports for 2017.
A reminder that we cannot pay your 2017 grant until we have received all of your financial reports for 2016. If there is any reason, which you have not already communicated to us, for your committee’s reports to be delayed please let us know as soon as possible by email - networks@rsc.org.
The grants can be released when the following information has been received and approved by our Finance Team:
  • Completed electronic financial report signed by the auditor, Chair and Treasurer
  • Bank statement
  • A hardcopy financial report signed by the auditor, Chair and Treasurer
As Interest Group as well as International Local Section grants are all linked it is for everyone’s benefit that we ask for these reports to be submitted as soon as possible.
Events for our committees
Further to our discussions at the 2016 General Assembly we are in the process of organising two new events for our member networks in 2017.
We aim to celebrate the work and activities of our Local Sections on 14 September in Burlington House in London.

Further information will be sent to Secretaries in due course.

New Officers Briefing day
This year’s New Officers’ Briefing Day will be held on 14 July 2017 at Burlington House, London. This is a great opportunity to find out about best practices and network with other committee members.
Please feel free to pass this invite on to any members of your committee that may be interested in taking up an Officer position in the future; we understand that knowledge of the role and responsibilities will be a key factor in deciding to take up such a position.
For the first time, this year we would also like to invite those members who represent the Chemists’ Community Fund on our Local Section committees.

Chemistry Week – 20 – 26 November 2017
We are pleased to announce that this year’s theme for Chemistry Week is ‘Global Science’ to celebrate the global nature of Chemistry and the success that comes from collaborations and our International community. Take part in the 2nd Employment Survey for European Chemists
The 2nd Employment Survey for European Chemists (ESEC2), which is being run by the European Chemistry Thematic Network Association (ECTN) and by the European Association for Chemical and Molecular Sciences (EuCheMS).
The survey, which is completely anonymous, will be open  from 1 March until 31 March 2017, and its main objective is to create a clear snapshot of the chemistry labour market. This snapshot will allow an analysis of educational offer and labour market needs, gender balance, salary differences, etc. As the situation of chemistry greatly differs from country to country (as the previous iteration of this survey shows) please make sure you take part so that we gather enough information from the UK to allow a specific analysis of data.
In the 2013 EuCheMS survey, the UK provided the second highest number of survey respondents and we’d like to be just as well represented in 2017. It only takes around 10 minutes to complete and is open until the end of March.
Complete the survey now.

McBain Medal: Assembly and pattern formation in complex soft materials
27 March 2017
SCI Belgrave Sq, London, UK

This one day meeting in London will focus on recent advances in colloid and interfacial science as a route to materials and processes with societal value, with distinguished speakers both from industry and academia. The meeting will close with the McBain Lecture, awarded annually by the RSC/SCI Joint Colloids Group to recognize a rising star in colloid and interface science. This year’s awardee is Dr João Cabral from Imperial College London, for his outstanding work on the thermodynamics and assembly of colloid and polymer mixtures, and the design of functional materials via interfacial instabilities. An enthusiast of scattering, his team and collaborators have pioneered the use of neutron and X-rays to study flow processing of complex fluids in complex microfluidic flows.
